Access documents for contractors

When GRC take on a vacant property for our client we as standard assist the client in creating an access document for contractors.

As access document is a document that can be sent to contractors that provides information about how to access a vacant unit. It typically includes;

1. Purpose:

The purpose of the document should be clearly stated at the beginning. This will help the reader understand the objective of the document.

2. Scope:

The scope of the document should be defined. This will help the reader understand the limits and boundaries of the document.

3. Access requirements:

The document should clearly outline the access requirements. This includes who is allowed to access the resource, how they are authorised to access it, and what level of access they have.

4. Padlock codes

5. Location of key safe and combination codes

6. Access control mechanisms:

The document should describe the access control mechanisms that are in place. This includes authentication, authorisation, and auditing.

7. Procedures:

The document should outline the procedures that must be followed to gain access to the resource. This includes any forms that need to be filled out, any training that needs to be completed, and any approvals that need to be obtained.

8. Responsibilities:

The document should clearly state the responsibilities of those who have access to the resource. This includes the responsibility to protect the resource, the responsibility to report any security incidents, and the responsibility to adhere to the access control mechanisms.

9. Enforcement:

The document should describe the enforcement mechanisms that are in place. This includes penalties for unauthorised access, and consequences for violating the access control mechanisms.

10. Review:

The document should specify a review process to ensure that the access requirements and access control mechanisms remain appropriate and effective over time.

11. References:

The document should include any relevant references, such as laws, regulations, and policies.

By including these elements in an access document, the reader will have a clear understanding of the requirements for accessing the resource, the mechanisms in place to control access, and the consequences for violating the access controls.
